Hotel Concessions: What to Ask For (And How to Actually Get Them)

Introduction

Most meeting planners know they can negotiate the room rate. Far fewer know that room rate is often not the most valuable thing to negotiate. Hotel concessions — the complimentary and discounted add-ons that hotels provide to earn your group's business — can add up to tens of thousands of dollars in value for a mid-sized meeting. Here's what to ask for and how to actually get it.


What hotel concessions are and why hotels offer them

Concessions are complimentary or discounted add-ons that hotels offer to differentiate their proposal and secure your group business. They're possible because hotels have significant flexibility in how they structure the total value of a group booking — they'd rather offer complimentary rooms or F&B credits than discount the published room rate, which affects their rate integrity across other segments. For planners, this means concessions are often available that hotels won't proactively offer — you have to ask, and you have to ask specifically.


The complimentary room ratio: your highest-value concession

The comp room ratio — how many complimentary rooms you receive per room nights sold — is typically the highest-value concession in a group contract. The industry standard is 1 complimentary room per 40 room nights (written as 1:40). With leverage and relationship, planners can negotiate 1:35 or 1:30. On a 200-room-night program over two nights, the difference between 1:40 and 1:30 could be two to three additional complimentary rooms worth $500 to $1,000+ each. That's a meaningful saving that has nothing to do with the room rate.


Meeting room rental: often fully waivable

Many hotels charge meeting room rental fees ranging from a few hundred to several thousand dollars per day depending on the space. These fees are frequently waivable when the room block and F&B commitment are sufficiently large — hotels trade the meeting space fee for the certainty of the room revenue. Always negotiate meeting room rental as part of your concession package, and get the waiver or discount in explicit contract language. Verbal assurances from sales teams are not binding; contract language is.



Other concessions worth negotiating

Beyond comp rooms and meeting space, the concession package can include: a complimentary suite upgrade for senior executives, food and beverage credits applied to your program, complimentary AV equipment (particularly basic A/V like screens and projectors), staff rate rooms at a discount for your team, complimentary parking for a percentage of attendees, welcome amenities in VIP rooms, and loyalty points for the meeting planner. Not all of these are available at every property, but all of them should be asked for explicitly.


Why concessions are more accessible than you think — with the right approach

Hotels are more willing to move on concessions than on published room rates, for two reasons. First, concessions have lower visibility — they don't affect the rate the hotel reports to its brand or to rate monitoring services. Second, concessions are often funded from discretionary sales team budgets that exist specifically for competitive differentiation.
